For healthcare organizations

Less paperwork for clinicians. More protection for patient data.

Independent practices and healthcare services companies are buried in documentation, prior authorizations, and denials, with thin IT teams and HIPAA on the line. We put AI to work on the administrative load, with clinicians in control and protected health information kept where it belongs.

Built for
The reality

Your clinicians trained to care for patients. They spend their evenings on documentation.

Notes finished after hours, prior authorizations faxed and re-faxed, denials worked by hand, and phones that never stop. Smaller organizations feel it most, because they carry the same administrative load as a health system without the staff to absorb it.

AI can take a real share of that work. But healthcare is where careless AI does the most damage: patient data in consumer tools, vendors without a business associate agreement, and outputs nobody reviewed before they reached a chart or a payer.

Healthcare organizations are also among the most frequent targets of ransomware. Any AI program has to make security stronger, not add another way in.

Questions practice leaders ask us
Can AI cut our denials without adding risk?
Is it safe to use an ambient scribe in the exam room?
Which of our vendors are touching PHI with AI right now?
Would we survive a HIPAA audit of our AI tools?
Where AI helps

We start with the administrative burden, not the diagnosis.

The fastest, safest returns in healthcare AI are in documentation, revenue cycle, and operations. Clinical judgment stays with clinicians.

Clinical support

For physicians, nurses, and care teams
Ambient documentation
Visit notes drafted from the conversation, reviewed and signed by the clinician before anything reaches the chart.
Chart and record summaries
Outside records, referrals, and long histories summarized before the visit, so time goes to the patient.
Patient messages and inbox
Portal messages sorted and draft replies prepared for clinician approval.
Protocol and policy search
Your own clinical protocols and policies made searchable for staff, inside your environment.

Revenue cycle and operations

For practice managers, billing, and front office teams
Prior authorizations
Requests assembled from the chart and matched to payer criteria, then approved by staff before submission.
Coding review and claim scrubbing
Documentation checked against codes before claims go out, so fewer come back.
Denials and appeals
Denials categorized by root cause, with appeal letters drafted from the record.
Intake, scheduling, and calls
Eligibility checks, referral intake, and routine calls handled with clear handoffs to staff.
HIPAA, designed in

Every safeguard maps to HIPAA or to patient safety.

GovernanceLift™ for healthcare turns the Privacy and Security Rules into controls your staff and vendors actually follow.

Mapped to the HIPAA Privacy Rule (45 CFR Part 164, Subpart E) and Security Rule (45 CFR Part 164, Subpart C). We also account for applicable state health privacy laws. This is operational guidance, not legal advice; your privacy officer and counsel remain the final word.

How an engagement runs

Secure the foundation, then prove value in one workflow.

Select a phase to see what we do and what the organization walks away with.

See where the time and the risk really are.

We shadow clinical and front-office workflows, review your EHR and practice management setup, and inventory every tool touching PHI, including AI features vendors have switched on quietly.

The organization walks away with: a workflow and burden analysis, a PHI and AI tool inventory, and a ranked list of opportunities.
  • Clinical and revenue cycle workflow review
  • EHR and practice management assessment
  • AI and vendor PHI inventory
  • Security assessment aligned to NIST CSF 2.0
  • Opportunities ranked by hours saved and revenue recovered
Technology leadership, on call

Most practices can't justify a full-time CIO. They still need one.

A 40-physician group makes the same decisions about EHR optimization, cybersecurity, vendors, and AI as a hospital, often with one IT manager. Our principals have spent more than 20 years as CIO, CTO, and CDO in regulated organizations where confidentiality and uptime are not optional.

We serve part-time, work alongside your privacy and security officers, and report to physician leadership or the board.

Why Vantara

Built for organizations that can't afford a mistake.

Clinicians stay in control

Nothing AI produces reaches a chart, a patient, or a payer without a person approving it. We design that in, not bolt it on.

Security is part of every engagement

Every AI program starts with a security review, because healthcare is a prime target and AI can widen the gaps.

Sized for independent organizations

We focus on middle-market practices and healthcare companies, with scope and pace that fit a lean team.

Vendor-neutral advice

We help you choose between your EHR's built-in AI and specialist tools based on your workflows and budget, not on a reseller agreement.

Common questions

What practice leaders ask us most.

Have a question that isn't here? Call us at 347 674-1471.

Can we use AI with patient data and stay HIPAA compliant?
Yes, with the right safeguards. Vendors that handle PHI need a business associate agreement, tools should see only the minimum necessary information, access should follow existing permissions, and use should be logged. We put those controls in place before any workflow goes live.
Will AI make clinical decisions?
No. We focus on documentation, administration, and revenue cycle work. Where AI drafts anything clinical, such as a visit note or a patient message, a clinician reviews and approves it.
Does this work with our EHR?
We work with the major ambulatory EHR and practice management systems and their APIs. Part of the assessment is determining what your EHR's own AI features already cover, so you don't pay twice.
Is Vantara HIPAA certified?
There is no official government HIPAA certification for any organization. What matters is that controls are in place and documented. When our work involves PHI, we sign a business associate agreement and follow your security policies.
We're a small practice. Is this realistic for us?
Yes. Small practices often benefit most, because every hour of administrative work falls on a few people. We start with one workflow that has a clear return and build from there.
