For family offices

Everything the family owns, in one view. Seen by no one else.

Family offices run lean teams on top of complex structures, scattered statements, and information that must stay private. We use AI to consolidate, report, and automate the work inside an environment the family controls, with security built for people who are targets.

The reality

A small team, a complex structure, and a lot of paper.

Most family offices run with a handful of people managing dozens of entities, multiple custodians, private fund commitments, real estate, and the family's personal affairs. Much of it lives in spreadsheets, inboxes, and one person's memory.

That creates two kinds of risk. The first is operational: reporting takes weeks, capital calls get missed, and the office depends on a controller who can't be replaced overnight. The second is exposure: wealthy families are targeted by phishing, wire fraud, and increasingly by AI-generated voice and video impersonation.

Used well, AI addresses both. Used carelessly, with family information pasted into public tools, it makes the second one worse.

Questions principals ask us
What is our total exposure across every entity, today?
Which capital calls and distributions are due this month?
Who can see the family's information, and where does it go?
What happens if our controller leaves tomorrow?
Where AI helps

The investment office and the family office are different jobs.

We design for both, because the people, the documents, and the privacy needs differ.

Investments and reporting

For the CIO, CFO, and investment team
Consolidated reporting
Statements from every custodian, bank, and fund pulled into one view, with draft quarterly reports ready for review.
Capital calls and distributions
Notices read, logged, matched to commitments, and flagged before deadlines.
Direct deal screening
First-pass review of inbound opportunities and draft diligence memos in the family's investment format.
Tax document collection
K-1s and tax forms tracked by entity, so the accountants aren't chasing paper in March.

Family administration

For the principals, family members, and office staff
Entity and document knowledge
Trust agreements, operating agreements, and insurance policies made searchable, so answers take minutes, not days.
Bill pay and expense review
Invoices captured, categorized by entity and household, and routed for approval with fraud checks.
Family governance support
Family meeting preparation, minutes, and decision records kept in one place.
Next-generation education
Private, guided tools that help younger family members understand the family's holdings and responsibilities.
Discretion, designed in

Every safeguard answers a risk the family actually faces.

GovernanceLift™ for family offices covers the office, the staff, and the family members who use AI on their own.

PrincipleThe riskWhat we put in place
Privacy
Family financial and personal information ends up in public AI tools or vendor training data.
Private deployment in the office's own environment, vendor terms reviewed, and training on family data switched off.
Access
Staff, advisors, and family members see more than they should.
Permissions by entity and by person, so each generation, branch, and advisor sees only what they are meant to.
Fraud
Wire requests and approvals are faked by email, voice, or video.
Out-of-band verification rules, deepfake awareness training for principals and staff, and payment workflows that can't be rushed.
Continuity
Critical knowledge lives with one controller or one long-time advisor.
Documented processes and a searchable record of entities and decisions that survives staff changes.
Oversight
Nobody knows which tools are in use or what they have been given.
An AI use policy for staff and family, an approved-tools list, and an audit trail of who used what.
Personal exposure
Principals' personal devices, accounts, and online footprint become the weak point.
A cybersecurity assessment that covers the office and the family's personal digital exposure.
How an engagement runs

Protect first, then consolidate, then automate.

Select a phase to see what we do and what the office walks away with.

Understand the structure and the exposure.

We map entities, accounts, systems, vendors, and people, and assess how information moves today, including where AI is already being used by staff or family members.

The office walks away with: an entity and data map, a security and AI risk assessment, and a prioritized plan.
  • Entity, account, and custodian inventory
  • Systems and vendor review
  • Office and personal cybersecurity assessment
  • Staff and family AI usage review
  • Opportunities ranked by time saved and risk reduced
Technology leadership, on call

Your office doesn't need a full-time CTO. It does need one it can trust.

Family offices face the same technology, data, and security decisions as a mid-size company, usually without anyone whose job it is to make them. Our principals have held CIO, CTO, and CDO roles for more than 20 years, in organizations where confidentiality is the whole business.

We serve part-time, report to the principals or the family council, manage vendors, and keep the office current as the tools change.

Why Vantara

Discreet by habit, practical by design.

Confidentiality is our background

We have spent our careers running technology in law and accounting firms, where client confidentiality is non-negotiable. We bring the same standard to the family.

Security and AI together

Every engagement looks at the fraud and cybersecurity risks AI can create, not just the efficiencies it offers.

We work with your advisors

Your accountants, custodians, attorneys, and reporting platform stay in place. We make them work better together.

Sized for a small team

We design for offices of three people as well as thirty, with tools the team can run without a technology department.

Common questions

What principals ask us most.

Prefer to talk it through? Call us at 347 674-1471.

Where does the family's information go?
Only where the family's policy allows. We favor private deployments inside the office's own environment, review every vendor's data terms, and make sure family information is not used to train outside models.
We're a very small office. Is this worth it for us?
Often more so. A small team feels every hour spent on reporting and paperwork, and depends heavily on a few people. We start with the work that consumes the most time and the risks that would hurt the most.
Will you replace our accountants or reporting platform?
No. We work alongside your existing advisors and systems, connecting them and automating the handoffs between them.
Family members are already using ChatGPT. Is that a problem?
It can be, depending on what they share. We help the family agree on simple rules, set up private tools that are safer to use, and train family members on what not to share.
How real is the deepfake and wire fraud risk?
Real enough that every office should have out-of-band verification for payments and a clear rule that no urgent request, however convincing, bypasses it. We set up those procedures and train the team and principals to follow them.
